Competitive triathletes and passionate bakers, Pam Weekes and Connie McDonald left their careers to open a small bread shop in New York City in 1995 — Levain Bakery.

One day, they baked a BIG chocolate chip walnut cookie as energy for triathlon training. At Levain, a batch of these 6-ounce cookies flew off the shelves, and an icon was born. The cozy shop on West 74th Street became a neighborhood favorite and a destination for epicurious visitors from around the world, hungry for “the cookie.”

From the start, Pam, Connie, and the team baked everything fresh on-site each day, donating the day’s leftovers to charity — and we still do, nearly 30 years later. Today, Levain has bakeries across the country (with more to come!), plus ecommerce gift boxes to treat cookie lovers in every state.

THE ROLE: EVENT OPERATIONS COORDINATOR

The Event Operations Coordinator is responsible for executing events seamlessly once they are confirmed, serving as the primary on-site point of contact on the day of the event. This role focuses entirely on operational excellence, client experience, and flawless delivery, working closely with internal teams to ensure all event details are executed as planned.

As the first face of Levain during an event, the Event Operations Coordinator plays a critical role in bringing the brand to life through hospitality, professionalism, and attention to detail. Partnering closely with the Catering & Event Sales Manager during the handoff process, and on-the-ground operators, this individual ensures a smooth transition from planning to execution, manages day-of logistics, and delivers a high-quality experience that reflects Levain’s standards across all markets.

Job Responsibilities

Relationship Management

  • Serve as the primary point of contact for clients on the day of the event, representing Levain with professionalism, warmth, and attention to detail
  • Manage real-time communication with clients to address questions, adjustments, or issues, ensuring a seamless and positive experience
  • Demonstrate adaptability and sound judgment in a fast-paced, live-event environment, balancing client needs with operational realities

Collaboration & Event Execution

  • Partner closely with the Catering & Event Sales Manager during the handoff process to fully understand event details, client expectations, and execution requirements
  • Execute events with precision and consistency: Own day-of event logistics, proactively identifying and resolving issues to ensure seamless execution and a high-quality client experience
  • Serve as a trusted on-site representative of Levain, reinforcing brand standards through professionalism, hospitality, and attention to detail
  • Work cross-functionally with bakery operations, culinary, and logistics teams to coordinate staffing, product preparation, setup, delivery, and breakdown
  • Maintain detailed and accurate operational notes, event run-of-show documentation, and post-event feedback to support continuous improvement

Process Improvement

  • Identify opportunities to improve event workflows, communication, and execution processes to support a growing events business
  • Partner with internal teams to refine handoff procedures, run-of-show documentation, and operational playbooks
  • Share post-event feedback, insights, and operational learnings to improve future events and inform ongoing process improvements

Requirements

  • Minimum 2-3 years of experience in hospitality operations; 1-2 years of event production experience preferred
  • Must be willing to travel throughout our operating markets for meetings and events
  • Open availability: ability to work mornings, nights, weekends, and holidays?as events and client needs require
  • Read and communicate in English, both verbally and in writing?
  • Utilize basic computer skills (Email, Microsoft Office)
