About the Team
OpenAI’s Workplace Events team brings our people, partners, and customers together through experiences that spark connection, collaboration, and inspiration. We design everything from employee celebrations and community gatherings to high-touch customer engagements that showcase the best of OpenAI. If you love creating memorable experiences and making operations feel effortless, you’ll feel right at home here.
About the Role
We’re looking for a highly organized, hospitality-minded Workplace Events Coordinator to help bring OpenAI’s events to life at our San Francisco headquarters. You’ll support a wide mix of programs—from weekly internal gatherings and team moments to curated customer visits and cross-functional events.
You’ll collaborate with teams across the company, own day-of logistics, and help ensure each event feels polished, welcoming, and thoughtfully executed. This is a great opportunity for someone who thrives in fast-paced environments, pays attention to the details, is a superb communicator and loves creating seamless, high-impact experiences for others.
This role is fully onsite 3–5 days per week in our San Francisco offices.
In this role you will:
Support the planning and execution of internal events, recurring programs, team moments, and customer-facing engagements.
Own day-of logistics—room bookings and setups, catering coordination, sign-in and guest flow, décor, entertainment, supply management, and AV touchpoints.
Partner with Workplace, Culinary, AV, Security, Executive Business Partners and other cross-functional stakeholders to keep programs aligned and well-coordinated.
Maintain event calendars, run-of-show documents, checklists, and tooling that keep operations running smoothly.
Provide warm, high-touch onsite hosting and troubleshoot issues in real time to ensure a smooth experience.
Support teammates during large-scale events and high-volume days—our team succeeds because we collaborate closely.
You’ll thrive in this role if you have:
3+ years of experience in events, hospitality, workplace operations, or a related field.
Warm, polished, and comfortable interacting with guests, cross-functional partners, and employees at all levels.
Exceptionally organized with strong attention to detail—you enjoy bringing structure and clarity to moving pieces.
Comfortable managing multiple programs at once and tracking details across various planning stages.
A proactive problem-solver who stays calm under pressure and enjoys rolling up your sleeves.
Experience with tools like Google Workspace, Jira, Prism, Swoogo, or event/ops systems is a plus.
Willingness to support occasional early-morning or evening events as needed.
