The Department Coordinator for Primary Care supports the operational effectiveness and daily workflow of assigned primary care teams. This position serves as the central point of coordination among providers, nursing, access, and leadership to ensure efficient patient flow, optimized scheduling, and exceptional patient experience. The coordinator leverages data and technology to monitor access metrics, coordinate staffing adjustments, and proactively address barriers to clinic productivity and patient satisfaction.Education Qualifications:
Key Responsibilities
- Follow the Appt Request Work Queue for those without a date and the 30/60/90-day requests.
- Session limit management and filling templates for assigned department
- Includes proactively working no-show / same day cancellations throughout the day to maximize clinician fill rates
- Re-empanelment of patients when a provider retires or leaves
- Management of all patient work queues, including but not limited to follow ups, annual visits, and quality reports.
- Identifying and generating solutions to scheduling barriers (i.e. Joel finds issues in the Decision Tree and escalates to Cole so it can be fixed.
- Proactively managing weather events (assist with turning encounters virtual to maintain department encounter targets).
- Referral Management (work with specialty departments to ensure internal referral capture)
Required Qualifications
- Preferred 1 year of administrative or healthcare office experience
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with electronic medical record systems (Epic preferred).
- Strong analytical and communication skills with the ability to interpret data and support operational decisions.
- Demonstrated ability to prioritize competing demands and work collaboratively in a fast-paced environment.
Preferred Qualifications
- Experience in a primary care or ambulatory clinic setting.
- Knowledge of Lean or other continuous improvement methodologies.
- Prior experience supporting or leading process improvement initiatives.
