About the Role:
We are looking for a bright and inventive Administrative Assistant to support our growing Krakow team. This is a varied role in which you will provide comprehensive administrative support to our Krakow Leadership Team whilst contributing to the upkeep and smooth running of our Krakow office. This is a hybrid position.
What You'll Do
Plan content and logistics for, and oversee team meetings (i.e. all hands, team events and holiday/social activities)
Prepare and update materials for Staff Meetings, Krakow LT sessions and other meetings organized by and for the Leadership team.
Collaborate with Executive Business Partners and colleagues across Remitly
Coordinate multiple complex calendars, schedule and prioritize meetings across multiple time zones
Support programs such as onboarding, diversity and internship
Track and promote the completion of important deliverables, following up on and actioning outstanding items
Coordinate, create and report progress of the engagement plan execution to the Krakow Leadership team.
Organize and prioritize time-sensitive information to ensure any required actions are addressed
Manage the coordination and submission of expense reports, invoices etc.
Coordinate international travel itineraries, including flight, hotel bookings, transfers and visas
Suggest process improvements
Work on special projects
Who you are
You have 2+ years of experience as an administrative assistant, project coordinator or in an administrative support role
You are comfortable working and communicating with senior management up to c-level executives, interacting with internal and external partners as well as collaborating across departments and locations
You possess a strong alignment to our mission and values
Know how to be autonomous and work well as a part of a collaborative team
You are a self-starter with hands on approach to tasks, always seeking solutions rather than identifying problems
You have good prioritization skills and are able to flexibly adjust them to changing needs of your stakeholders
Have an ability to complete complex tasks quickly and react with appropriate urgency to situations that require a quick turnaround
You have a strong working knowledge of contemporary collaboration and productivity tools, Google suite of products, Slack, Box in addition to Microsoft Office
You handle confidential information with discretion and sound judgment
You have excellent command in Polish and English (both written and verbal skills)
