Reporting directly to the CEO, the Executive Assistant will provide executive, administrative, project, and development support and have a direct impact in enabling our growth. The Executive Assistant serves as the primary point of contact for internal and external connections by serving as a liaison to the Board, clients, internal team members, and senior management teams. Organizing and coordinating executive outreach and external relations efforts and overseeing special projects. We are looking for someone based in Canada to fill a 7 months contract role.
What You’ll Do
Act as the point of contact among executives, employees, clients, and other external partners—including those of a highly confidential or critical nature
Help manage the CEO’s time allocation, professional relationships, and priorities
Act as the gatekeeper of the executives’ calendar and appointments
Oversee complex and detailed travel plans, itineraries, and agendas
Format information for internal and external communication—preparing and coordinating both oral and written communication
Arrange and handle all logistics for Leadership meetings and events: schedule meetings, draft agendas, record meeting notes and triage action items, and manage vendors for in-person events
Troubleshoot conflicts; make judgment calls and recommendations to ensure smooth day-to-day engagements
Manage prospect and customer interactions: track leads and next steps within the internal CRM database

Partner with the People team to ensure seamless flow and discretion throughout talent searches and assist in people related initiatives
What you'll bring
5+ years of executive support experience, including supporting C-level executives
Expert proficiency with Notion, Slack & Google Workspace; ability to design and edit graphic presentations and materials
Technical proficiency and problem-solving skills related to cloud-based environments and web-based applications
Strong verbal and written communication skills
Exceptional organizational skills and impeccable attention to detail with a high focus on reporting
High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, community leaders, and chief benefactors
Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround
Ability to maintain a high level of integrity and discretion in handling confidential information
