Description

Stella & Chewy's is seeking a highly organized and detail-oriented Shipping & Receiving Coordinator to support the daily operations of our Shipping & Receiving department. This position serves as the administrative and communication hub for inbound and outbound logistics by coordinating transportation activities, maintaining shipping documentation, scheduling carrier appointments, and supporting inventory movements across company facilities and third-party logistics (3PL) partners.

Essential Duties and Responsibilities

  • Coordinate inbound and outbound transportation appointments using Microsoft Dynamics 365 (D365) and other scheduling tools.
  • Receive and process inbound purchase orders, raw material receipts, parcel deliveries, and supporting documentation.
  • Prepare Bills of Lading (BOLs), transfer documentation, packing lists, shipping labels, and other required shipping paperwork.
  • Coordinate product transfers between Stella & Chewy's facilities and third-party logistics (3PL) partners.
  • Process co-manufacturing shipments and related documentation.
  • Serve as the primary point of contact for carrier appointment scheduling and shipment communication.
  • Communicate shipment status, delays, scheduling conflicts, and transportation issues with internal departments and external partners.
  • Maintain accurate transportation records and documentation within D365 and other company systems.
  • Support inventory transfer transactions and shipment traceability.
  • Verify shipping and receiving documentation for completeness and accuracy prior to processing.
  • Assist in resolving routine shipment discrepancies and transportation issues by coordinating with internal departments and external carriers.
  • Support transportation compliance through accurate recordkeeping and documentation.
  • Assist with transportation reports, shipping metrics, and KPI tracking as requested.
  • Support continuous improvement initiatives related to shipping, receiving, transportation, and warehouse administration.
  • Maintain organized shipping records and files in accordance with company policies.
  • Perform other duties and projects as assigned.

Reports To: Shipping & Receiving Supervisor

Works Closely With: Shipping & Receiving Leads, Material Handlers, CDL Drivers, Production, Planning, Customer Service, Purchasing, Quality, Inventory Control, Carriers, and Third-Party Logistics (3PL) partners. Daily work assignments and priorities may be coordinated by Shipping & Receiving Leads to support operational needs.

Requirements

Required Qualifications

  • High school diploma or equivalent required
  • Minimum of two (2) years of experience in shipping, receiving, logistics, warehouse administration, or transportation coordination.
  • Experience working within an ERP system; Microsoft Dynamics 365 experience preferred.
  • Proficient in Microsoft Office, including Excel, Outlook, and Word.
  • Strong organizational, time management, and multitasking skills.
  • Excellent written and verbal communication skills.
  • Strong attention to detail with a high level of accuracy.
  • Ability to prioritize multiple responsibilities in a fast-paced environment.
  • Ability to work independently while collaborating effectively with cross-functional teams.

Preferred Qualifications

  • Experience working in food manufacturing or consumer packaged goods (CPG).
  • Experience coordinating with third-party logistics (3PL) providers.
  • Knowledge of transportation documentation, including Bills of Lading, transfer orders, and shipping paperwork.
  • Experience with Transportation Management Systems (TMS).

Working Conditions: This position primarily works in a shipping office within a manufacturing and warehouse environment. The role requires frequent interaction with warehouse personnel, drivers, carriers, and cross-functional departments. Appropriate personal protective equipment (PPE) is required when entering designated production or warehouse areas.
